 Work must be completed at the physical location. There is no option to work remotely.

Key Responsibilities:

  • Assist the sales team with administrative tasks, including scheduling appointments, meetings, and travel arrangements.
  • Prepare and maintain sales reports, presentations, and documentation for meetings.
  • Process sales orders, invoices, and purchase orders accurately and in a timely manner.
  • Handle customer inquiries via phone, email, or in-person, providing excellent customer service and support.
  • Maintain customer databases and records, ensuring all information is up to date.
  • Assist in the preparation of sales proposals and contracts.
  • Collaborate with other departments, such as marketing and finance, to support sales initiatives.
  • Monitor inventory levels and assist with inventory management as needed.
  • Organize and maintain the sales office, ensuring that all supplies and materials are available.
  • Support the sales team in developing and implementing marketing strategies and promotional activities.

Tasks

  • Arrange and co-ordinate seminars, conferences, etc.
  • Direct staff
  • Evaluate daily operations
  • Plan and control budget and expenditures
  • Record and prepare minutes of meetings, seminars and conferences
  • Plan, develop and implement recruitment strategies
  • Perform basic bookkeeping tasks
  • Conduct performance reviews
  • Prepare reports and others documents for consideration and presentation to executive committees and boards of directors

Qualifications:

  • High school diploma or equivalent; additional education in business administration or related field is a plus.
  • Previous experience in a sales support or administrative role preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM software.
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong customer service skills and a positive attitude.

Working Conditions:

  • Office environment with standard business hours; some flexibility may be required during peak sales periods.
  • May involve sitting for long periods and using office equipment.
