The Event Planner is responsible for coordinating and executing events, ensuring that all details are managed effectively to create memorable experiences for clients and attendees. Key Responsibilities:
- Client Consultation: Meet with clients to discuss event goals, budgets, and preferences, providing expert advice and recommendations.
- Budget Management: Develop and manage event budgets, ensuring cost-effective decisions while maintaining quality.
- Venue Selection: Research and secure venues, negotiating contracts and overseeing venue logistics.
- Vendor Coordination: Source and liaise with vendors, including caterers, decorators, audio-visual teams, and entertainment, ensuring timely delivery of services.
- Event Design and Theme Development: Create event concepts and designs that align with client expectations and themes.
- Logistics Management: Oversee event logistics, including timelines, schedules, and on-site coordination to ensure smooth execution.
- Marketing and Promotion: Develop marketing materials and promotional strategies to attract attendees when applicable.
- On-Site Management: Supervise events on the day, addressing any issues that arise and ensuring everything runs smoothly.
- Post-Event Evaluation: Conduct post-event evaluations to assess success, gather feedback, and identify areas for improvement.
Tasks
- Administer revenues and expenditures
- Prepare, present and manage budgets
- Develop financial procedures
- Develop sponsorship, partnership or fundraising programs
- Determine requirements for hospitality services, signage, multi-media equipment, printing and other technical services, and arrange for and manage contracts for these services
- Assist in site selection and attend to related details
- Co-ordinate set-ups, staging, seating, parking, communication systems and other details for special events

Qualifications:
- Education: Bachelor’s degree in hospitality, event management, marketing, or a related field preferred.
- Experience: Previous experience in event planning or coordination is highly desirable.
- Skills: Strong organizational and multitasking skills; excellent communication and interpersonal abilities; creativity and problem-solving skills.
- Technical Proficiency: Familiarity with event management software and tools; proficiency in Microsoft Office and project management tools.
- Certifications: Certification in event planning (e.g., CMP, CSEP) is a plus.
Working Conditions: Work may involve long hours, including evenings and weekends, especially during events. The role often requires being on-site during events, which can include physical activities such as lifting equipment and setting up venues.
