Key Responsibilities:
- Assist the sales team with administrative tasks, including scheduling appointments, meetings, and travel arrangements.
- Prepare and maintain sales reports, presentations, and documentation for meetings.
- Process sales orders, invoices, and purchase orders accurately and in a timely manner.
- Handle customer inquiries via phone, email, or in-person, providing excellent customer service and support.
- Maintain customer databases and records, ensuring all information is up to date.
- Assist in the preparation of sales proposals and contracts.
- Collaborate with other departments, such as marketing and finance, to support sales initiatives.
- Monitor inventory levels and assist with inventory management as needed.
- Organize and maintain the sales office, ensuring that all supplies and materials are available.
- Support the sales team in developing and implementing marketing strategies and promotional activities.
Tasks
- Arrange and co-ordinate seminars, conferences, etc.
- Direct staff
- Evaluate daily operations
- Plan and control budget and expenditures
- Record and prepare minutes of meetings, seminars and conferences
- Plan, develop and implement recruitment strategies
- Perform basic bookkeeping tasks
- Conduct performance reviews
- Prepare reports and others documents for consideration and presentation to executive committees and boards of directors
Qualifications:
- High school diploma or equivalent; additional education in business administration or related field is a plus.
- Previous experience in a sales support or administrative role preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM software.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong customer service skills and a positive attitude.
Working Conditions:
- Office environment with standard business hours; some flexibility may be required during peak sales periods.
- May involve sitting for long periods and using office equipment.
