Key Responsibilities:
- Guest Services:
- Greet guests warmly and provide a professional and friendly check-in and check-out process.
- Assist guests with room assignments, upgrades, and special requests.
- Handle guest inquiries, complaints, and issues promptly and effectively, ensuring guest satisfaction.
- Reservations and Bookings:
- Process reservations, cancellations, and modifications accurately using the hotel’s reservation system.
- Verify guest information, including booking details and payment methods.
- Confirm and communicate reservation details with guests as needed.
- Front Desk Operations:
- Manage the front desk area, ensuring it is clean, organized, and welcoming.
- Handle cash and credit transactions, and ensure accurate billing and receipt issuance.
- Maintain and update guest records, ensuring confidentiality and compliance with privacy policies.
- Communication and Coordination:
- Communicate effectively with housekeeping, maintenance, and other hotel departments to address guest needs and ensure smooth operations.
- Provide information about hotel amenities, local attractions, and transportation options.
- Administrative Duties:
- Prepare daily reports, including occupancy statistics and guest feedback.
- Assist with administrative tasks such as filing, handling correspondence, and processing guest requests.
- Ensure adherence to hotel policies and procedures, including security protocols.
- Problem Solving:
- Address and resolve guest issues or concerns with professionalism and courtesy.
- Handle emergencies or unexpected situations according to hotel protocols and procedures.
Tasks
- Register arriving guests and assign rooms
- Take, cancel and change room reservations
- Provide information on hotel facilities and services
- Process guests’ departures, calculate charges and receive payments
- Clerical duties (i.e. faxing, filing, photocopying)
- Answer telephone and relay telephone calls and messages
- Assist clients/guests with special needs
- Provide customer service
Qualifications:
- Education and Experience: High school diploma or equivalent required; previous experience in a customer service or hospitality role is preferred.
- Skills: Excellent communication and interpersonal skills, strong problem-solving abilities, and a friendly, professional demeanor. Basic math skills and familiarity with reservation software are beneficial.
- Technical Skills: Proficiency with computer systems, including hotel management software and Microsoft Office Suite.
Working Conditions:
- Work in a hotel environment with varying shifts, including evenings, weekends, and holidays, based on guest needs and hotel operations.
- Stand for extended periods and handle tasks that require attention to detail and accuracy.
